CUAHSI is seeking a dynamic and detail-oriented Program and Operations Assistant to support daily operations and assist in the smooth execution of our projects and events. This multi-functional position involves supporting program management, grant administration, event support, financial data entry, and various administrative tasks. Occasional travel and support outside of normal working hours may be required.

Location: Remote

Position Type: Full-time (35-hour workweek)

Salary: $51K-$73K depending on qualifications and responsibilities

Key Responsibilities:

Key responsibilities and support include but is not limited to:

Program Management:

  • Assist in the planning, coordination, and execution of CUAHSI’s programs and events.
  • Communicate with program participants and stakeholders to ensure smooth operations.
  • Maintain program documentation and track deliverables.

Project Oversight and Grant Management:

  • Track, manage, and communicate deadlines and milestones for grants within CUAHSI’s portfolio.
  • Assist in the preparation of grant reports.
  • Assist with tracking, communicating, and creating grant budgets.

Financial Management:

  • Enter and manage financial data related to program expenses and organizational budgets.

Administration and Operations:

  • Support the development, implementation, and communication of operational policies, procedures, and workflows.
  • Develop document management practices to organize organizational files in a centralized document system (e.g., SharePoint or google cloud).
  • Efficiently respond to inquiries, communicate with stakeholders, and direct requests to the appropriate contact.
  • Perform other related administrative, coordination, logistical, communication, operations or program tasks as directed.

Qualifications:

  • Bachelor’s degree with at least two years relevant experience; coursework or experience in environmental science, hydrology, or related field a plus.
  • Prior experience in program management, grant administration, financial management or accounting is preferred.
  • Excellent organization, time management skills, and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to effectively manage and prioritize multiple tasks simultaneously to produce high-quality outcomes within set deadlines.
  • Ability to work and problem-solve effectively independently as well as work collaboratively in a dynamic and interdisciplinary environment.
